Bill payment tools range from simple free ACH tools (Melio) to full AP platforms with approval workflows and ERP integrations (BILL, Tipalti). The right choice depends on your monthly payment volume, whether you pay international vendors, and how much AP automation you need beyond basic payment processing.
Our criteria: payment method coverage (ACH, check, card, wire, international), pricing verified from vendor sites, QuickBooks and NetSuite sync quality, and review analysis from G2 and Capterra. Paying vendors by credit card: the ACH arbitrage strategy
Some AP teams pay vendors by credit card even when vendors don't directly accept cards — and pocket the difference. Here's how it works: you use a tool like Melio or Ramp to process a card payment on your end, and the tool converts it to a check or ACH deposit on the vendor's end. You earn 1.5–2% cash back on your card. Melio charges 2.9% for card payments, so the math only works if your card earns more than that — which is rare unless you're using a high-tier corporate card with negotiated rebates.
Where this actually makes sense: extended float. If you pay your Melio or BILL balance on Net 30 terms with your card issuer, you've effectively extended vendor payment by 30 days past your card statement date. For a business paying $100,000/month in vendor bills, that's $100k sitting in your account an extra 4–6 weeks. The 2.9% fee might be worth that float if your cash position is tight or if the capital earns something elsewhere.
Ramp takes a different angle — it integrates bill payment with corporate card management and earns you rebates on AP spend with no transaction fee on many vendor payments. Stampli also supports card-funded payments with its "Stampli Card" feature, which issues virtual cards for vendor payments and earns rebates. If you're running $500k+/month through AP, it's worth modeling whether a card-funded payment strategy beats the ACH-only approach.
Bill payment software vs AP automation: which do you need?
These two categories overlap but aren't the same thing. Bill payment software — think Melio — handles the payment execution part: you upload a bill, choose ACH or check, and the vendor gets paid. AP automation — think Stampli, Tipalti, or BILL's higher tiers — also handles what happens before the payment: invoice capture (OCR or email parsing), coding to the right GL accounts, approval routing, and audit trails. If you're still manually entering bills into QuickBooks and then paying them one by one, that's where AP automation helps.
The dividing line is usually around team size and monthly payment volume. Melio's free ACH tier works fine for a 5-person company paying 20–30 vendors a month. Once you're paying 100+ bills per month and invoices are coming in from multiple channels (email, mail, vendor portals), you want something that captures and codes invoices before they reach payment. BILL does this starting at $45/user/month. Tipalti makes more sense at $5,000+/month in vendor payments — its strength is global payments and 1099/tax compliance at scale.
One practical question: do you need approval workflows? If two people need to sign off before a bill is paid, Melio's basic plan doesn't support that. BILL and Stampli both have multi-level approval routing. Stampli starts around $149/month for small teams and puts approvals front and center — each invoice gets a comment thread so approvers can ask questions without leaving the platform.
