Remittance advice: give AR enough detail to apply the payment
Send invoice-level payment details so the supplier can match the bank receipt, explain deductions, and close the correct receivables.
Bottom line
Remittance advice should let a supplier apply cash without asking which invoices were paid. Include the payer, supplier account, payment reference, invoice allocations, deductions, and net amount. Send it when the payment is released, but do not treat the advice as proof that the bank has settled the funds.

- Name the payer legal entity and the supplier account
- Include payment date, amount, currency, rail, and bank reference
- List every invoice number and the amount applied to it
- Separate credits, discounts, withholding, and disputed deductions
- Make the invoice allocations add to the net payment
- Send the advice to the supplier cash-application contact
- Store the sent advice with the AP payment record
The bank amount is only half the message
A supplier may receive one deposit that covers five invoices, one invoice paid in two installments, or a short payment reduced by a credit. The bank reference rarely explains all of that. Remittance advice carries the allocation that the supplier AR team needs.
Intuit defines remittance advice as a document confirming a payment and showing which bills it covers [Intuit, 2026]. For AP, the same document should also tie back to the approved payment batch and the accounting entry.
Use a field set that survives batch payments
| Field group | Include | Failure it prevents |
|---|---|---|
| Parties | Payer legal name, customer or account ID, supplier legal name | Cash posted to the wrong customer account |
| Payment | Date, amount, currency, rail, confirmation or bank reference | Advice that cannot be matched to the deposit |
| Allocation | Invoice number, invoice date, gross amount, amount paid | Old invoices left open after a batch payment |
| Adjustments | Credit memo, discount, withholding, dispute code, short-pay reason | Unexplained balance disputes |
| Contact | AP owner and reply address | Supplier email routed back to sales or a former employee |
The invoice allocations, credits, and deductions should reconcile to the net payment. If they do not, stop the advice before it reaches the supplier. Sending an internally inconsistent document creates two investigations instead of one.
AP sends the allocation and AR closes the invoices
The AP team should create the advice from the same approved payment data used to release funds. The supplier AR team then matches the deposit, applies each invoice amount, records approved adjustments, and returns an exception if the totals or references do not agree.
Keep both sides of that exchange. The payer needs evidence of what it intended to settle. The supplier needs the allocation it actually posted. A later dispute is easier to resolve when the sent advice and the bank confirmation remain linked.
Short payments need their own explanation
Do not hide a deduction by listing only the smaller net amount. Name the invoice gross amount, credit memo, discount, withholding, disputed amount, and remaining balance. If the deduction has not been agreed, label it as disputed and give the supplier a contact.
One invoice may also be paid across several dates. Each advice should show the amount applied now and the balance the payer expects to remain. That helps both teams distinguish a planned installment from an accidental underpayment.
Payment data can travel with the rail or beside it
Some payment messages can carry remittance information, but field length, format, and supplier systems vary. A separate structured email or portal notice may still be necessary. Use a stable payment reference in both places so the supplier can join them.
Do not place sensitive bank credentials in the advice. It should identify the transaction, invoices, and adjustments. Bank-detail changes belong in a separate, verified vendor-master process.
How Melio handles the supplier handoff
Melio allows the payer to add bill details and a vendor memo during ACH scheduling. Its help center says the payer receives a confirmation email and the vendor is notified that a payment is on the way [Melio, 2025].
Melio also documents payment-delivery records that can include the amount, payer, and invoice details [Melio, 2025]. Before publication, the reviewer should confirm what the specific vendor receives for the selected funding and delivery method.
Frequently asked questions
Is remittance advice the same as proof of payment? No. It explains the intended payment allocation. A bank or provider confirmation shows payment status.
When is remittance advice most important? Use it for batch payments, partial payments, credits, deductions, and any deposit whose bank reference will not identify the invoices.
Who should receive it? Send it to the supplier contact responsible for cash application or accounts receivable, not only to the salesperson.
Should every invoice appear separately? Yes. List each invoice and the amount applied so the allocation totals can be checked.
What should AP do if the supplier cannot match the deposit? Compare the bank reference, amount, date, payer entity, supplier account, and invoice allocation before sending a corrected advice.
