Where does the $6–$12 per-check cost actually come from?

Check stock and printing, postage, staff time to prepare, sign, and mail the check, plus the reconciliation work when a check is lost, stale-dated, or doesn't match the vendor's records. None of those show up as a single line item on a P&L, which is why most finance teams underestimate what checks actually cost until they add it up.

Is the virtual card rebate real money, or a marketing number?

It's real, and it's funded by the card network's interchange, not by your vendor. The catch is that not every vendor accepts card payments, and some categories (rent, payroll-adjacent payments, certain government payees) rarely do. That's exactly why this calculator assumes a mixed check/ACH baseline rather than 100% conversion, so the number reflects payments that are realistically eligible.

Should I switch every vendor to ACH or card at once?

No. Start with your highest-volume, most check-heavy vendors, since that's where the bulk of the savings sits.
